Track bids with your team

How to use the pipeline, checklists, comments, activity and roles in Victavio so everyone knows who is doing what, and when.

Bidding is team work, even for a team of two. Victavio's pipeline keeps each bid you are pursuing in one place, with an owner, a stage and a next date.

Save a bid

Tap Save on any notice to add it to your pipeline. It starts in the Found stage. Everyone in your workspace can see it. What each person can change depends on their role.

The stages

  • Found: saved to look at.
  • Deciding: working out whether to bid.
  • Preparing: writing the response.
  • Submitted: sent to the buyer.
  • Won, Lost or No bid: the outcome.

On a computer, drag a card from one stage to the next. On a phone, the pipeline shows as a list, and you change the stage from the card.

Give each bid an owner and a next date

A bid nobody owns gets missed. For each one:

  • Assign an owner.
  • Set a due date for the next step, not only the final deadline.
  • Use the checklist for the steps: the questions to answer, the forms to attach, and the review before you submit.

Deadlines show in the buyer's time zone and yours, and Victavio sends reminders before they arrive.

Talk in one place

Add notes and comments on a bid. Type @ and a teammate's name to mention them. They get a notification, and the conversation stays with the bid instead of in scattered emails.

Record the outcome

When you learn the result, move the bid to Won, Lost or No bid, and add notes: the winning price, the winner and what you learned. When you pass on a bid, write the reason. Over time, this record shows which bids fit you.

Your team

Invite teammates from the Team page. Roles decide what each person can do:

  • Owner: everything, including billing and the workspace itself. A workspace can have more than one owner.
  • Admin: manages members, settings and every bid.
  • Member: finds, saves and works on bids.
  • Viewer: can see everything but cannot change anything.

Owners, admins and members use seats on your plan. Viewers do not use a seat, up to your plan's limit.

See what your team is doing

  • Activity is a live feed of what happens in your workspace: bids saved and moved, assignments, comments, checklist items done, invites and syncs.
  • Member pages show each person's recent activity and the bids assigned to them.
  • Presence shows who is online, and who is looking at the same bid as you right now.
  • Notifications tell you about assignments, mentions, comments on your bids, deadline reminders and accepted invites.

Saved searches and alerts

Save a search in Explore and turn on email alerts. Victavio emails you when new notices match it. Your plan sets how many saved searches you can keep.

Short tours show you around the first time you open each page. You can replay them, or turn tours and tips off, in Settings, under Tutorials.
