Many city, county, school district and state buyers take bids on a bid portal, such as IonWave. Once you have an account on a portal, you can connect it to Victavio. Victavio then checks your own bids on that portal for you and tells you when something changes.
Connect a portal
- Go to Settings, Bid portals.
- Find the agency and press Connect.
- A secure browser opens the portal's own sign-in page. Sign in yourself: you type your own password and any code the portal sends, unless you chose to save your login with Victavio.
- When you are signed in, the portal shows as Connected.
No account on that portal yet? Register there first. Victavio AI can fill in the company details on the sign-up form while you watch, and you press the last button yourself. Then come back and connect.
What Victavio checks
A few times a day, Victavio opens the portal with your saved session and reads, and only reads, what your account can see. On IonWave portals it reads your own bids:
- each response you started or sent, with its status as the portal shows it, such as not submitted, under review or cancelled;
- your awards;
- new addendum files added to those bids.
When a bid on the portal has the same solicitation number as a bid in your pipeline, Victavio links the two. Every visit is listed for you with the time and what Victavio found.
Alerts on your bids
When the status of one of your bids changes, or the buyer adds a new addendum file, Victavio alerts you. You can also press Check now to check a portal right away.
Deadlines work the same way for bids in your pipeline. When an amendment moves a due date, your pursuit's due date moves too, and Victavio tells you the old and new date.
What Victavio never does on a portal
It never submits a bid, accepts terms, changes your settings or messages a buyer, and it downloads nothing but bid documents. When you ask Victavio AI to fill a bid response on a connected portal, it fills it in a secure browser you watch and stops before the final Submit, which you press.
Other portals
On some portals, Victavio keeps your sign-in so Victavio AI can fill a bid response with you, but it does not check that account in the background yet. The portal's card in Settings, Bid portals says which.
If the portal signs you out
Portals end sessions now and then. When that happens, Victavio stops, marks the connection Reconnect needed and tells you once in the app. Press Connect to sign in again.
Your connection is yours
Only you can use your connection. Your teammates, your workspace's owners and admins, and Victavio staff cannot open it. The bids and files it finds stay private to your workspace. You can disconnect one portal or all of them at any time, and Victavio deletes the saved session at once. Bids already found stay in your workspace.
You still follow each portal's own terms for your account. See What is a bid portal? to learn how portals work, and After you submit for what to watch once your response is in.
